Privacy Policy

Critical Ops Hub is an independent technical resource for professionals working in data centre and mission-critical environments. The website is operated from New Zealand. This website does not currently identify a separate registered legal entity; where this policy refers to “Critical Ops Hub”, it means this website and the people who operate it.

Free-resource requests. When you request one of our free resources (the Data Centre Maintenance Checklist, the MOP Review Checklist, or the Data Centre Asset Criticality Matrix), the request form collects your first name and email address, and asks you to confirm your consent before the request is submitted. When a request is submitted, we record:

• your first name;
• your email address;
• which resource you requested;
• the page you requested it from;
• your consent status, the time you gave consent and the version of the consent wording you agreed to; and
• the date and time of your submission.

We do not collect payment information, and the website does not currently have customer accounts.

Enquiries. The general enquiry form on this website is not yet connected to a delivery service, so information entered into it is not transmitted to us or stored by us. If you contact us directly by email, we receive the information you choose to send us.

Information collected through this website may be used to:

• provide the free resources you request and confirm their delivery, once email sending is enabled;
• respond to enquiries;
• understand which resources are being requested;
• provide related Critical Ops Hub resources and updates, where you have consented;
• maintain the security of the website and prevent abuse, such as limiting repeated automated submissions; and
• understand website and resource usage, if website analytics are introduced.

We do not sell personal information, and we do not use it for advertising or profiling.

The email system for delivering requested resources is currently being configured and is not yet active. In the meantime, requested resources can be downloaded directly from the website.

Once email delivery is enabled, we will use your email address to send you the resource you requested and, where you have consented, related operational resources from Critical Ops Hub. Where such communications can be unsubscribed from, every message will include a way to opt out. This policy will be updated to identify the email provider once one is in place.

Information you submit is stored securely in the website’s managed backend database, which is not publicly accessible. We use reasonable technical and organisational measures to protect personal information, including server-side validation of submissions, checks that only approved resources can be requested, rate limiting to prevent abuse, and access controls so that subscriber records cannot be read through the public website.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

No fixed retention period has yet been established. Personal information is retained only for as long as reasonably necessary for the purposes described in this policy, subject to any applicable obligations. When a retention period is established, this policy will be updated.

This website is hosted, and submitted information is stored, using third-party hosting and managed database services, which process information on our behalf so the website can operate.

A transactional email provider is still being configured and is not yet active. Website analytics services are not currently connected. Where third-party services are introduced for website operation, email delivery, analytics or security, this policy will be updated to identify them.

This website does not currently use advertising or tracking cookies, and no analytics service is currently connected. Standard browser technologies needed for the website to function, such as secure connections, are used.

If analytics are introduced in future, this policy will be updated to explain what is collected and why.

You may have rights in relation to the personal information we hold, including the right to ask what information we hold about you, to ask us to correct information that is inaccurate, to withdraw your consent where consent is the basis on which information is used, and to unsubscribe from non-essential communications.

Critical Ops Hub aims to handle personal information in accordance with applicable New Zealand privacy requirements, including the principles of the Privacy Act 2020 where they apply. This policy is provided for general information only. It does not constitute legal advice, and nothing in it should be read as a claim of legal certification or formal legal review.

This website is intended for professional, adult users and is not knowingly directed at children. We do not knowingly collect personal information from children.

Visitors may access this website from outside New Zealand. Information may be processed using services located outside New Zealand. Once the service providers that process personal information, and their locations, are known, this policy will be updated.

This policy may be updated from time to time to reflect changes to the website, its services or applicable requirements. The last-updated date above will change when it does.
