Define the decision the data supports

Asset information should serve operating decisions: what needs attention, what risk is changing and where investment is required. Begin with those decisions before expanding the data set.

Build a usable information model

Use stable asset identifiers and a hierarchy that reflects how systems are operated. Separate relatively static attributes from condition, maintenance and risk records that change over time.

  • System, parent and dependency relationships
  • Criticality and service consequence
  • Condition, known defects and lifecycle status
  • Document, maintenance and spares references

Practical example

Two identical chilled water pumps can carry different criticality ratings if one serves a single data hall with no alternative path. Criticality follows the service consequence of failure, not the equipment type.

Keep the register controlled

Ownership, change triggers and validation routines matter more than collecting every possible field. Updates should be part of equipment changes, project handover and maintenance close-out.
